Job Description

The Quality Administrative Specialist plays a key support role in maintaining and strengthening the quality framework across a network of laboratories. This position will assist multiple Laboratory Quality Managers by coordinating licensing and accreditation efforts and supporting the documentation and maintenance of Quality Management System (QMS) components. The ideal candidate is detail-oriented, organized, and proactive, with a strong understanding of quality systems and regulatory requirements in laboratory environments. Essential Duties and Responsibilities: Centralize and manage all accreditation, licensing, and certification programs. Maintain a master calendar and tracking system to ensure timely renewals and prevent missed deadlines. Handle the application process for scope expansions, ensuring accurate and timely submissions. Monitor and interpret regulatory requirements applicable to the organization. Maintain records of regulatory updates and communicate changes to relevant teams. Analyze costs associated with licensing, accreditation, and compliance programs. Identify opportunities for cost savings and efficiency improvements. Provide financial reporting and insights to support budget planning for accreditation and licensing activities. Develop and implement processes to reduce administrative risks related to renewals and applications. Maintain comprehensive and up-to-date documentation of all certifications, licenses, and accreditations. Help prepare and compile documentation for internal audits, external inspections, and management reviews. Provide administrative support for QA activities. Assist in the development and maintenance of quality management system (QMS) documents.
